Form View

Form View in DataLexing offers a streamlined method for gathering information. Forms are automatically generated based on your existing table, allowing you to customize fields without the need to create a form from scratch. Creating a Form View To create a new Form View: 1. Within the table, click on the "+" sign above the search bar. 2. From the drop-down menu, select Form view. 3. A box will appear to enter a name for the viewโ€”choose a descriptive name that reflects its content. 4. Click "Add" to save the new view. Once the Form View is created, you can structure the displayed information in multiple ways. You can modify field visibility, adjust the order, and customize how users interact with the form. Survey Mode The Form View offers two display modes: - Form Mode: All fields are visible in a vertically stacked layout. - Survey Mode: Only one field is visible at a time, enhancing focus. Switching Between Modes To select a mode: 1. Click the Paper icon at the view editing bar. 2. Choose Form Mode or Survey Mode. Customizing the Form Submit Button Display To change the Submit button text: 1. Click the pencil icon next to the 'Submit' button. 2. Enter the desired text. Adding Fields/Questions you can think of fields as questions in form view. Adding fields to a form is straightforward: 1. from the left sidebar to select and add the required fields. 2. Click Add All to insert all available fields. 3. To create a new field that isnโ€™t already in the table, select + Add new field from the Fields sidebar. Drag fields using the drag handle (โ ฟ). 2. Drop at the desired Location. Removing Fields To remove a field from the form: 1. Locate the field. 2. Click the Trash icon to remove it. To Remove all the fields: Click Remove all button in the left fields side bar. Custom Branding to enhance form with branding elements: Add a Logo: 1. This helps maintain data accuracy, completeness, and consistency. To make a Field mandatory to fill: 1. Locate the Desired Field. 2. Turn on the toggle for Required. Form Conditions (Conditional Logic) Form conditions help tailor the user experience by dynamically showing, hiding, enabling, or requiring fields based on user input. They improve efficiency, reduce clutter, and ensure relevant data collection. To Allow Conditions: 1. Turn on the toggle for Show when conditions are met. 2. Apply 1. ๐Ÿ”ต Choose a field. to show a certain fields in conditions, you should add the column that you are filtering on before the filtered column 2. ๐ŸŸข Choose a Condition. 3. ๐Ÿ”ด Choose a Value. For example, if you want to collect additional feedback when a user submits a very low score. Configuring Post-Submission Actions After a form is submitted, you can choose what happens next: Show a Custom Message 1. Choose Show a message, at the end of the form. 2. Enter a message in the Show a message box. 3. This message will appear AFTER submission. Redirect to a URL 1. Choose Redirect to URL, at the end of the form. 2. Enter the URL where users should be redirected after submission. Previewing a Form Before sharing a form, preview it: - Click the eye icon to open the form in a new tab. - Alternatively, copy the private link and paste it into a browser. Sharing a Form to Share form internally with users that have access to the forms table: 1. Click Share Form icon at the top corner of the view. 2. Copy the link. 3. Publishing a Form Once your form is designed and tested, publishing it involves making it accessible to audience while ensuring security, usability, and data collection efficiency. to Publish a form: 1. Viewing Submitted Form Data Submitted form data automatically generates a new record in the original table. Entries appear at the bottom of the Grid View, if they are not hidden or sorted in a way that excludes them. Changing Form Language this option is available for users (audience) felling the form. Change Language to English 1. Click the Arabic Icon , in the right upper corner of form page. 2. Change the Language to English. Change the Language to Arabic 1. This technique in the DataLexing system aims to facilitate the process of searching for and accessing the required data quickly and accurately. In this guide, we will explore how to apply formats to data in DataLexing and their benefits in organizing and filtering data effectively. Filters Filters in DataLexing are aimed at refining and organizing your data to quickly find the necessary information. Filters enable the classification and precise arrangement of data based on specific criteria. They simplify the display of data by showing only the rows that meet the specified conditions, facilitating the management of vast datasets. Filters contribute to reducing clutter and facilitating data management tasks, whether by isolating data from a specific date, filtering rows that match specific conditions, or arranging data in a particular sequence. Filter Components Before applying the filter, you must choose three field values: 1. Column 2. Condition 3. Value. When adding the condition, it represents the Condition that must apply to the rows to be displayed. | Type | Description | | ------------- | ---------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- | | Columns | drop down list of all the columns that exist in the table | | Condition | refers to a specific criterion or rule used to select or exclude data based on.Conditions changes based on column Types. to learn more about conditions click here | | Value | a specific value or pattern that you want to compare against in the chosen column. Complex filtering can be achieved by linking multiple conditions together. For multiple filtering rules, two types of logic are used: "AND" and "OR". This method enables applying multiple filters at once using "AND" and "OR" conditions. "AND" Conditions: Use "AND" when all conditions need to be met. Use the "AND" logic to find items that meet all requirements within a set of filter rules. For example, to identify projects with the status 'In Progress' and 'Urgent' in a table, select "AND" before adding the second rule. "OR" Conditions: Use "OR" when any condition is sufficient. Use the "OR" logic to find items that meet at least one of a set of filter rules. For example, to identify projects containing 'Site Renaming' or 'User Portal' in a table, select "OR" before adding the second rule. To add another condition for refinement, click on the 'Add Condition' button. This creates another workspace containing all conditions connected by "AND" or "OR". Enabling and Disabling Multiple Filter Options: You can toggle the 'Disable All' checkbox to enable or disable all current fields within the page. This action does not remove filters from the table but only disables their application.

Sheet View provides a spreadsheet-like interface for managing tabular data efficiently. Key features include: - Replace Excel with dynamic tables that integrate permissions and collaboration tools. - Filter and sort data to focus on specific information. - Publish filtered data or tables with hidden columns as view-only. - Import data with smooth mapping and export it as needed. - Apply row coloring to visually organize and highlight data. - Interact with tabular data seamlessly for efficient management. ๐Ÿ’ก By creating a new sheet, you can share a specific portion of your data with your colleagues. Create New Sheet 1. Within the table, click on the "+" sign above the search bar. 2. From the drop-down menu, select Sheet view. 3. A box will appear to enter a name for the viewโ€”choose a descriptive name that reflects its content. 4. Select who can edit: - Collaborative for team access and editing. - Personal for individual use. 5. Click "Add" to save the new view. Filter Sheet View Sheet views can be filtered to quickly find tasks matching multiple criteria. Select two or more filters from the available list to refine your results. For example, you can limit the inbox to display only "Demo Call" tasks. To apply custom filters: Filter Sheet View 1. Within the table, click on the funnel icon in the view bar. 2. A box will appear; click on "Add filter." 3. Three fields will appear: 1. Choose a Column 2. Choose a Condition 3. Choose a value to Filter by. 4. The filter will be applied directly to the view, updating the displayed data according to your selected criteria. Sort Sort Sheet View Sorting data is essential for organization and workflow efficiency. DataLexing simplifies this by allowing sorting based on selected fields. Sorting can be done automatically to control rows order. - Default Sorting: New tables are initially sorted by row creation time. - Automatic Sorting: Sort Sheet View 1. Click the Sort button in the view bar. 2. from the dropdown list, Choose a field to sort by. 3. Choose a Sorting Criteria 4. Rows will be automatically ordered based on the selected field. 5. Add multiple sorting criteria if needed, ensuring they are arranged in the correct sequence. 6. To remove a sorting option, click the trash button next to it. Another way to manage Sorting is by opening an expanded view or clicking on the field header and selecting Sort field from the dropdown menu. - Manual Sorting: Users can manually reorder rows by grabbing the handle next to the row number and moving it to the desired position. Share After creating a sheet view, you can share it via a link with anyone who has access or publish it on the internet. Show/hide - Hide Fields: - This feature allows choosing which fields remain visible in a shared view. - The primary field cannot be hidden. - How to show/hide fields: 1. Click the Eye button in the view bar. 2. Use the toggle switch next to each field name to show or hide it. 3. Click Hide all or Show all for quick adjustments. 4. A preview will indicate the number of hidden fields. If dealing with numerous fields, use the Search fields box to locate specific ones quickly. Another way to manage field visibility is by opening an expanded view or clicking on the field header and selecting Hide field from the dropdown menu. Adjust Columns width By default, sheet views display columns with a fixed width. However, to view more data within each cell, the column width can be adjusted. This feature allows customization based on the content within each column. Adjust Columns width To adjust a Column width: 1. Click and hold the dividing line next to the field title. 2. Drag the line to increase or decrease the width. A grey bar will appear as an indicator. 3. Release the mouse at the desired width to display more information in each cell. Reorder Columns By default, sheet views arrange columns in the order they were created. However, you can reorder them by: - Clicking and dragging the column to the desired location. - Using the Show/Hide Fields option to click and drag columns according to the desired location. Footer Aggregations Footer aggregations calculate values based on a specific field in a table. By default, footer summaries are empty, but they can be customized for insights. The column is considered an essential part of this structure, as it is used to store a set of values of the same data type. Columns can be configured in multiple ways to suit your project's needs. Each table in the applications consists of many table cells, which are parts of the information. These table cells are arranged in columns and rows. Rows represent records. Here, information about a specific entity (such as a customer, order, etc.) is retained. Columns represent fields. The field corresponds to specific data such as ID, color, postal code. What is a Column? The table consists of rows and columns, which are displayed in table view. In the table, the column is a set of values of the same data type; each column is a data structure holding a specific data type. Columns are used to maintain table relationships. You can take a column from one table and merge it into any other table. This is because the table is not just a means of storing your data; it is an object that can contain other objects, each of which can collect data. In Datalexing, each column can be configured to suit your needs. You can sort, filter, and hide columns in a specific view without affecting other views in the table. Column Types A column can store many different types of data, but the important thing is that it can store only one type of information, not a mixture. You can calculate the value of the aggregation in the footer by looking at all the rows in the tables. These resulting values are displayed in footer cells for easy reference. This allows for quick assessment and summarization of column values across a range of rows, except for the search column. Please note that these aggregated values cannot be referenced. The aggregation in the footer provides a summary of the column by default, with the footer summary for each column being empty. To get a specific summary for a particular column, follow these steps: 1. In any table, click on the footer bar at the bottom of the table to select the aggregation function. 2. Select from the various available functions for the selected column. Once an aggregation is created, the results will be displayed for each column in the footer area. General Functions The column type will determine the types of footer summaries available. Some summary functions will appear in columns like Creation At, Single Select, Single Line, Phone Number, Email, File, Multiple Select, Formula, Linked Table, Long Text, URL, Last Modified, and which are: - Empty - Filled - Percentage of Empty - Percentage of Filled - Unique (Except for Linked Table, File, Created At, and Multiple Choice columns) Date Column Functions In addition to general functions, some functions will only appear in Date, Last Modified, and Creation At columns: Oldest Date Newest Date Logical Data Columns Functions The aggregation function for Logical Data columns allows you to see the count or percentage of selected and unselected cells. - Selected - Unselected - Percentage of Selected - Percentage of Unselected Numeric and Rating Columns Functions In addition to general functions, you can use the footer aggregation for the Number column to calculate the sum, minimum, or maximum of numeric data in columns.
