Form

This guide covers the process of creating and managing a Form View.

Form View in DataLexing offers a streamlined method for gathering information. Forms are automatically generated based on your existing table, allowing you to customize fields without the need to create a form from scratch.


Creating a Form View

To create a new Form View:

  1. Within the table, click on the "+" sign above the search bar.

  2. From the drop-down menu, select Form view.

  3. A box will appear to enter a name for the view—choose a descriptive name that reflects its content.

  4. Click "Add" to save the new view.

Once the Form View is created, you can structure the displayed information in multiple ways. You can modify field visibility, adjust the order, and customize how users interact with the form.


Survey Mode

The Form View offers two display modes:

  • Form Mode: All fields are visible in a vertically stacked layout.

  • Survey Mode: Only one field is visible at a time, enhancing focus.


Switching Between Modes

To select a mode:

  1. Click the Paper icon at the view editing bar.

  2. Choose Form Mode or Survey Mode.


Customizing the Form Submit Button Display

To change the Submit button text:

  1. Click the pencil icon next to the 'Submit' button.

  2. Enter the desired text.


Adding Fields/Questions

you can think of fields as questions in form view.

Adding fields to a form is straightforward:

  1. from the left sidebar to select and add the required fields.

  2. Click Add All to insert all available fields.

  3. To create a new field that isn’t already in the table, select + Add new field from the Fields sidebar.


Unsupported Field Types

the following field types are not compatible with Form View:

  • 💾 Created on

  • ✍🏻 Last modified

  • 🧮 Count

  • 📦 Rollup

  • 🔦 Lookup

  • ✨ AI

  • ➗ Formulas

  • 👥 Collaborators


Reordering Fields

You can rearrange questions in your Form View:

  1. Drag fields using the drag handle (⠿).

  2. Drop at the desired Location.


Removing Fields

To remove a field from the form:

  1. Locate the field.

  2. Click the Trash icon to remove it.

To Remove all the fields:

Click Remove all button in the left fields side bar.


Custom Branding

to enhance form with branding elements:

Add a Logo:

  1. Click the Grey Circle at the top of the form.

  2. upload an image from your device.

Add a Cover:

  1. Click the Grey Area at the top of the form.

  2. upload an image from your device.

To replace or remove an image, simply select the current image and upload a new one.


Custom Context

Enhance form context by adding form title and descriptions for form and fields.

Add Form Title

  1. Click the Title written in grey, in the beginning of the form.

  2. Write a Form Title.

Add Form Description

  1. Click the Description written in grey, in the beginning of the form.

  2. Write a Form Description.

    Customize Form description via text editor provided. add headers, links.

Add Fields Description

  1. Click the Description written in grey, under fields name.

  2. Write field Description. to describe the field required.


Required Fields

Required fields are essential in form design because they ensure that users provide critical information before submission. This helps maintain data accuracy, completeness, and consistency.

To make a Field mandatory to fill:

  1. Locate the Desired Field.

  2. Turn on the toggle for Required.

Form Conditions (Conditional Logic)

Form conditions help tailor the user experience by dynamically showing, hiding, enabling, or requiring fields based on user input. They improve efficiency, reduce clutter, and ensure relevant data collection.

To Allow Conditions:

  1. Turn on the toggle for Show when conditions are met.

  2. Apply

    1. 🔵 Choose a field. to show a certain fields in conditions, you should add the column that you are filtering on before the filtered column

    2. 🟢 Choose a Condition.

    3. 🔴 Choose a Value.

For example, if you want to collect additional feedback when a user submits a very low score.


Configuring Post-Submission Actions

After a form is submitted, you can choose what happens next:

Show a Custom Message

  1. Choose Show a message, at the end of the form.

  2. Enter a message in the Show a message box.

  3. This message will appear AFTER submission.

Redirect to a URL

  1. Choose Redirect to URL, at the end of the form.

  2. Enter the URL where users should be redirected after submission.


Previewing a Form

Before sharing a form, preview it:

  • Click the eye icon to open the form in a new tab.

  • Alternatively, copy the private link and paste it into a browser.


Sharing a Form

to Share form internally with users that have access to the forms table:

  1. Click Share Form icon at the top corner of the view.

  2. Copy the link.

  3. Share it.

Publishing a Form

Once your form is designed and tested, publishing it involves making it accessible to audience while ensuring security, usability, and data collection efficiency.

to Publish a form:

  1. Click Share Form icon at the top corner of the view.

  2. Go to publish tab.

  3. Click Publish.

  4. Copy the link.

  5. Share it.

note: there are options to Restrict Access with Password, Change the Link or Unpublish the Link.

Viewing Submitted Form Data

Submitted form data automatically generates a new record in the original table.
Entries appear at the bottom of the Grid View, if they are not hidden or sorted in a way that excludes them.


Changing Form Language

this option is available for users (audience) felling the form.

Change Language to English

  1. Click the Arabic Icon , in the right upper corner of form page.

  2. Change the Language to English.

Change the Language to Arabic

  1. Click the English Icon , in the right upper corner of form page.

  2. Change the Language to Arabic.
