Workspaces

Overview

You can join multiple workspaces and switch between them from the dashboard. When you create a DataLexing account, a default workspace is provided for free. If a colleague invites you to their workspace, you can join it as well.

Users on Trial, Pro, or Growth plans are limited to one workspace but can still be invited to other workspaces created by other members.

Important Notes:

  • Each workspace operates independently, meaning data cannot be transferred or linked across workspaces.

  • It is recommended to keep related applications within the same workspace for better organization.

  • You can switch between workspaces via the sidebar.


Collaborating in a Workspace

Managing Access & Permissions

Workspaces allow you to define access levels for team members by assigning roles. You can specify who can:
✔ View, edit, or comment on Applications, tables, views, and records.
✔ Create or delete Applications.
✔ Invite new members and manage external sharing.

Inviting Members

Collaboration is easy in DataLexing. To invite team members:

  1. from the sidebar, Click on Arrow next to workspace name

  2. Select the workspace.

  3. Click the ellipses (...) next to the workspace name.

  4. Select "Add Members" and enter their email addresses.

  5. Invited users will receive an email with instructions to join.

Setting Up a Workspace

When you sign up for DataLexing, a default workspace is automatically created. Applications belong to a workspace, meaning you must either create a new workspace or be invited to an existing one to start building applications or tables.

Creating a Workspace

Only Enterprise plan users can create new workspaces.

To create a workspace:

  1. from the sidebar, Click on Arrow next to workspace name

  2. at the bottom of the list, click + Add new workspace.

  3. Enter a workspace name to reflect its purpose (e.g., team activities, product launches, or project management).

  4. You can rename the workspace at any time.

Once created, you automatically become the workspace admin, allowing you to:


Workspace Settings

To access workspace settings:

  1. from the sidebar, Click on Arrow next to workspace name

  2. Select the workspace.

  3. Click the ellipses (...) next to the workspace name.

Renaming a Workspace

(Only available to workspace admins)

Rename Workspace

  1. from the sidebar, Click on Arrow next to workspace name

  2. Select the workspace.

  3. Click the ellipses (...) next to the workspace name.

  4. Choose "Rename"

  5. enter the new name

  6. click Save.


Leaving a Workspace

How to Leave a Workspace

If you wish to leave a workspace:

  1. from the sidebar, Click on Arrow next to workspace name

  2. Select the workspace.

  3. Click the ellipses (...) next to the workspace name.

  4. Select "Leave Workspace", then confirm by clicking "Leave".

Once you leave, you will lose access to all applications within that workspace. However, the workspace will remain accessible to other members. To regain access, a workspace admin must re-invite you.

Leaving as the Last Admin

If you are the only admin, you cannot leave the workspace unless:

  1. Assign another member as an admin via the Members settings page.

  2. Delete the workspace (if you don’t want others to retain access).


Deleting a Workspace

(Only available to workspace admins)

To permanently delete a workspace:

Delete Workspace

  1. from the sidebar, Click on Arrow next to workspace name

  2. Select the workspace from the dashboard or sidebar.

  3. Click the ellipses (...) next to the workspace name.

  4. Select "Delete Workspace", confirm the warning message, and click "Delete".

⚠️ Note: Deleting a workspace is permanent. If you no longer need a workspace but want others to retain access, consider transferring ownership instead.


Copy Workspace ID

To copy workspace ID:

  1. from the sidebar, Click on Arrow next to workspace name

  2. Select the workspace from the dashboard or sidebar.

  3. Click the ellipses (...) next to the workspace name.

  4. Select "Copy Workspace ID".


Viewing Deleted Items (Trash)

To access the workspace trash:

View Trash
  1. from the sidebar, Click on Arrow next to workspace name

  2. Select the workspace from the dashboard or sidebar.

  3. Click the ellipses (...) next to the workspace name.

  4. Select "View Trash" from the pop-up menu.

⚠️ Only Workspace Admins can See & Restore workspace trash.
